How to convert a thesis into pdf-format

This guide is for master's thesis. There is a separate guide for doctoral dissertations.

Computers for general use in the Library are equipped with the PDF-XChange software to convert to pdf format. This software is also currently available in the University's computer classrooms.

If you are unable to make use of the University's computers, you can do the conversion also by downloading the trial version of Adobe Pro DC.

In the event of any problems, please contact the Library's help desk: tel. 040 190 4243 or seek advice from the IT Services' Help Desk.

After the conversion verify that the pdf corresponds to the original regarding page numbering and other details. Also verify that the fonts you have used have been imbedded in the file.

Method 1 (Word 2010/2013) (instructions with pictures):

  1. Open your file in WORD.
  2. Select File-Save as.
  3. Select Browse at the Computer option.
  4. Select PDF at the File name option.
  5. Select Standard (publishing online and printing) at the Optimize for option.
  6. Select Options. Select ISO 19005-1 compliant (PDF/A) option. Select OK.
  7. Select file name and where you want to save the pdf file. (Instructions for file name selection)
  8. Press Save.

Method 2 (PDFCreator, free program, not installed in library computers) (instructions with pictures):

  1. Open your file in WORD.
  2. Select File-Print-Print (Word 2007: top left corner Office button - Print - Print).
  3. Select the PDFCreator printer.
  4. Press Print.
  5. Write Document Title and Author (if necessary).
  6. Select options.
  7. Select Save option (left side of the window).
  8. Select Standard save format PDF/A-2b.
  9. Select PDF option (left side of the window).
  10. Select default setting Pre-press at the General option.
  11. Unselect Compress text objects and Compress at the Compression option.
  12. Select Save twice.
  13. Select pdf file name and where you want to save the pdf file. (Instructions for file name selection)
  14. Press Save.

Merging one or more pdf-files into one file (PDF-Exchange v4)

  1. Open PDF-Tools 4.
  2. Open the Split/Merge tool.
  3. Click Add - Add files.
  4. Select the files for merging.
  5. Repeat steps 3 and 4 as necessary.
  6. Rearrange the files in the order you want them to appear in the merged pdf-file (select a file and click the button Up or Down).
  7. If you want only selected pages from one ore more files, select range of pages to include (double click the filename).
  8. Click Next.
  9. Select All Pages to One Document and click Next.
  10. Check that the pages are in correct order (click green arrow left to the document) and click Next.
  11. Check the PDF settings and click Next.
  12. Select the folder and give a file name for the merged PDF-file and click Process.
  13. Finally click Finish.
